Microsoft Outlook Duplicate Email Fix


When using Microsoft Outlook, you may encounter an error in which all of your emails are downloaded twice. Depending on the size of your inbox, taking the time to remove each duplicate email could prove to be quite tedious. There is, however, an easier solution.

POP3 Email Server

If your email is downloaded to Microsoft Outlook from a POP3 mail server, you may encounter this duplicate item error if you use the option, "Leave a copy of messages on the server."
To disable this option, open Outlook and click "Tools," then select "E-mail Accounts." Then select "View or change existing e-mail accounts," and click "Next." Choose your POP3 e-mail account, and click "Change," then "More Settings." On the Advanced tab, find the "Leave a copy of messages on the server" check box, de-select the check box, and click "OK."

Other Causes

It's also possible to get the duplicate mail error if Outlook is running in Cached Exchange Mode, or if there are messages that have more than one entry in a multi-value field.
Both this error and the POP3 server issue have been fixed with Microsoft Office service packs, so if you are experiencing this problem with duplicate items, your best bet is to check with Microsoft.com for any updates that your software may need.

How to Remove Duplicate Items

After you've addressed the error, you're still left with the problem of removing the duplicate items in your mailbox. Fortunately, there's a quick way to clean up your inbox.

Open Outlook, choose the View menu, and select "Table Type." As an example, use "Inbox" as your View setting, and "Messages" for the field. Right-click on a column heading, then select "Field Chooser." From the list at the top of the "Field Chooser," click to select the All <item name> fields. Then drag the "Modified" field to the table heading. Check to ensure that all of your duplicate items have a unique date from the original items. If so, then you should click the "Modified" heading so that the items are sorted by this field. Click on the first item in the set that you want to delete, hold down the "SHIFT" button on your keyboard, and click on the last item in the set that you want to delete. Press "DELETE" on your keyboard to permanently delete all selected items.

This should quickly get rid of all duplicate items in your mailbox.
